We currently collect and process the following information:

How we get the personal information and why we have it

Most of the personal information we process is provided to us directly by you for one of the following reasons:

  • To receive monthly marketing newsletters

  • You wish to receive direct social media marketing support or training

  • You wish to stay in contact for mutually beneficial work/recommendations

We also receive personal information indirectly, from the following sources in the following scenarios:

  • From external networking events

  • Through recommendations

  • Third party social media app platforms

 

Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are:

We collect data about you when we meet or work together, when we communicate with each other about working together, when you contact us, when we’ve been referred to you and when we’ve been to the same event and details of attendees were shared. We do so using the ‘consent’, ‘contract’ and ‘legitimate interests’ rationales of the General Data Protection Regulations (GDPR) that came into force on 25th May 2018.

 

Sometimes we need to share data with other organisations, such as where we are liaising with social media platform providers, online or in-person facilities where we are running training events. We will advise you if this is the case. When sending data, we take steps to ensure that it is secure, for example password protecting documents.

 

We will not sell your details or pass them on to any other third party.

 

How we store your personal information 

Your information is securely stored. 

We store names, email addresses, job titles and in some cases phone numbers and postal addresses.  We store notes on the work that we’ve done together and conversations that we’ve had.

 

We sometimes take and store photographs of our events and projects, in which case we will seek your consent to be photographed. You have the right to request to review photographs that we hold of you, and to request removal from digital media and removal from future versions of online and print media.

 

We keep email addresses, names and company title data for a period of two years, and if no longer required, we will dispose of your information by deleting personal information or shredding any hard copies.

 

We use Google Drive and Dropbox, GDPR compliant cloud-based storage file systems. We never store paper copies of data, but on rare occasions where it is required, it is always stored in a locked box and compliant with GDPR.

Your data protection rights

Under data protection law, you have rights including:

Your right of access - You have the right to ask us for copies of your personal information. 

Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete. 

Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances. 

Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal information in certain circumstances. 

Your right to object to processing - You have the the right to object to the processing of your personal information in certain circumstances.

Your right to data portability - You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
